What & Why?
Xerox-REMS: A Real-Estate Management System
Companies optimize everywhere, yet often ignore their massive real estate expenses. These unchecked, recurring costs drain millions from the bottom line each year. Xerox-REMS is a powerful tool designed to fix this. It targets this financial blind spot to save your business millions annually.
Most of the corporate spaces are rented and each company provides space for each resource. Cost per seat on an avg is around 10K(varies according to city per month) and when you take the count of no.of seats across all the floors, building, different locations and different countries the number touches to millions and millions.
To improve the efficiency of business and lower the spending.
What: REMS is a Real-time interactive dashboard
Who are the users?:
Managers,
Location/Regional Heads/Site Leads
CEO/Business Owners.
How?
By using Real-Time and Historical data of
Employee login date,
Shift timings,
Peak usage of the space, and
Average seat occupancy at different time periods.
REMS-Dashboard provides Descriptive Analysis with the clear representation
of Data & Interactive visualisations. It helps the users to obtain more insights & Ideas,
and helps in decision making for cost optimisation.
How do the flows work?
Through various managers based at different locations, the Input data is fed to the dashboard they can upload the files using data sets: Access control data, Data from HR, SBU wise data, and seat Information through various Input pages.
User flow & Experience varies from manager to manager based on their access to the internal system. CEO can access any data, but the access is limited to the certain managers depending upon BU's and locations. Data Can be filtered according to Countries, locations, BU's and Buildings.
Designed and architected a comprehensive dashboard by applying interaction design principles to complex user experience monitoring systems, ensuring a seamless workflow.
Developed a "glanceable" data strategy by selecting bespoke visualization techniques tailored to specific data types, ensuring aesthetic and functional consistency across the entire platform.
Optimized usability through iterative testing, refining the interface by incorporating color science and metaphorical data visualization to improve information hierarchy and user perception.
Partnered with management to translate high-level business requirements into actionable, user-centric design solutions that prioritized human factors and cognitive load reduction.
Broadly, the REMS dashboard for real-time visualisation of seat occupancy, space utilisation propose a dynamic platform through which accurate data can be used to view, analyse and monitor by the supervisor for insights. There are three key novelties of the visualisation dashboard:
Understanding of clear and constant effect due to cultural-social factors and helping in better utilization of space.
For Ex: Every Friday in Bangalore 90% of office space get empty before 5pm and where as in Chennai this situation happens during Wednesday.
Visualisation of broad set of features such as location occupancy performance metrics, population of the space, heat maps for Realtime view etc. covering different facets of employee office space utilisations, leaves frequency and visiting hours. i.e. multi-faceted real-time correlated data that has the employee office space experience factors encoded.
This helps and makes it possible for a Supervisors to improve office experience to the employee, also helps in access and visualise slow occupying areas, to thereby locate and identify abnormalities that may be present.
Real-time monitoring of above facets at various granularities as well as with options to slice and dice to obtain different real-time views i.e. multi-view visualization of the shifts vs location with space filling in real-time.
For example, the dashboard provides location based option to see visualisation in timeline and shift basis view which gives clear map of how well the space utilisation is happening and key data set like on which day/time in a week there is a continuous drop or high spike etc.
